Summary:

To provide administrative support and other assigned functions to HR Department and Senior Management Team, enabling them to focus on core responsibilities of their jobs.

Essential Functions and Responsibilities:

  • Coordinate meetings for management and others. Maintain internal calendar for trainings and meetings at Corporate Headquarters. Coordinate and distribute materials for the Marketing and Business Development departments. Assist with special projects throughout the year. Maintain monthly inventory at the Corporate Headquarters.
  • Maintain/manage the Applicant Tracking System, keeping up with all applications, schedule interviews and other HR duties.
  • Screen incoming mail, publications and other correspondence.
  • Contact person for current tenants in Corporate Headquarters.
  • Greet visitors/guests.
  • Prepare and/or assists in the planning of events.
  • Assist the Executive Assistant and Management with projects and in day-to-day operations.
  • Collect and prepare information for projects, assignments and meetings with other credit union managers, employees and outside individuals.
  • Perform other duties as assigned.

Performance Measurements:

  • Provide timely, accurate, professional administrative support.
  • Confidentiality is an essential part of this position and must be maintained at all times.
  • Maintain the confidentiality of all information as directed in credit union procedures.
  • Meet required time deadlines for mail or correspondence distribution and calendar updates.
  • Provide informed, professional and accurate service and support to all members and associates.
  • Maintain a professional work environment and businesslike appearance.

Knowledge and Skills:

  • Experience | Three years to five years of similar or related experience.
  • Education | (1) A two-year college degree or (2) Completion of a specialized course of study at a business or trade school or (3) Completion of a specialized and extensive in-house training or apprenticeship program.
  • Interpersonal Skills | Courtesy, tact, and diplomacy are essential elements of the job. Work involves much personal contact with others inside and/or outside the organization for purposes of giving or obtaining information, building relationships, or soliciting cooperation.
  • Other Skills | Excellent organizational and editing skills; typing skills at or above the 75 percentile in speed and 90th percentile in accuracy; proficient with spreadsheets, Excel and Word.

Role:

To assist members and potential members with their telephone requests; explains services, responds to problems, and directs phone calls to the appropriate area.

Essential Functions and Responsibilities:

  • The responsibilities of this position include performing a wide variety of sales and service transactions requested by phone, fax, or email, including but not limited to the following:
  • Answer incoming calls and assist members with account inquiries, review members accounts to identify and recommend appropriate products and services.
  • Complete account research and perform data entry to update and maintain member records.
  • Solve problems accurately and follow through on resolutions.
  • Act as liaison between members and other credit union departments.
  • Work hand in hand with all back-office departments including: Operations, Loan Operations, Accounting, E-commerce/Card Services, Member Solutions.
  • Support and contribute to the success of the department by providing effective and efficient member services.
  • Navigate between multiple credit union systems (i.e., I-Power, Criterion, Client Workstation, etc.).
  • Must be willing to work two or more Saturdays a month.

Knowledge and Skills:

  • Prior customer service experience in the financial industry preferred.
  • Ability to provide excellent member service over the phone/prior call center experience a plus.
  • Excellent interpersonal skills and professional manner.
  • Strong verbal and written communication skills.
  • Ability to cross-sell products and services.
  • Must be well organized and attentive to details.
  • Must be able to multi-task and prioritize work in a fast-paced work environment.
  • Must have strong computer proficiency with knowledge of Microsoft Office, Internet, and Email.
  • Bilingual (English/Spanish or English/Bosnian) skills a plus.

Summary:

To perform a variety of functions in the operations department. These functions may include but are not limited to the following: check processing, ACH processing, wire transfers, dormant accounts, negative accounts, SEG payroll processing and IRA administration.

Responsibilities:

  • Processes any of the following within the timeframe required: Mobile Check Deposit item review, ATM Deposit item review, mail deposits, share draft processing, ACH processing, negative accounts, dormant accounts, IRA administration, paperwork, wire transfers, subpoenas and/or SEG payrolls.
  • Coordinates workflow and scheduling in order to meet processing deadlines.
  • Researches problems or questions from members, clearinghouses, or correspondents.
  • Communicates with members or associates concerning transactions involving accounts; overdrafts, account closings, charges and fees, transfer of funds, etc.
  • Researches and resolves employee and member problems.
  • Cross trained in team member’s daily processes to assist when needed.
  • Completes daily metrics.
  • Maintains files and required documentation.
  • Performs other job or department related duties as assigned

Performance Measurements:

  • Carryout assigned responsibilities meeting all deadlines with respect to settlement activities, with minimum errors that result in losses to the Credit Union, in accordance with established departmental guidelines. This should be accomplished with zero unresolved errors.
  • Provide friendly informed, professional, accurate service and support to all members and associates.
  • Complete assigned processes with limited errors while meeting required deadlines and policies.
  • Produce required reports accurately and in a timely manner.
  • Troubleshoot and resolve member and internal inquiries in a timely and accurate manner.

Knowledge and Skills:

  • ExperienceOne year to three years of similar or related experience.
  • Education |  A high school education or GED.
  • Interpersonal Skills | Work normally involves contacts with persons beyond immediate associates generally regarding routine matters for purposes of giving or obtaining information which may require some discussion. Outside contacts take the form of service to the public (members or vendors) requiring ordinary courtesy in providing assistance and information.
  • Other Skills |  10-key proficiency; must be able to operate general office equipment including calculator, copy machine, Microsoft office, Microsoft excel, Microsoft Outlook, telephone; required lifting and motions tasks.

  • Balance cash drawer and daily transactions.
  • Perform other duties as assigned.

  • Provide friendly, professional, personalized service to members.
  • Ability to handle at least 100 transactions per day.
  • Process transactions accurately.
  • Balance cash drawer daily with minimal or no outages. 
  • Comply with all regulatory requirements and credit union policies and procedures.

Knowledge and Skills:

  • Experience | One to three years of similar or related experience.
  • Education | A high school diploma or GED.
  • Interpersonal Skills | Courtesy, tact, and diplomacy are essential elements of the job. Work involves significant interaction with others inside and outside of the organization to provide or obtain information, facilitate conversations, solicit cooperation, and build relationships.
